The National Queer Asian Pacific Islander Association (NQAPIA) empowers LGBTQ+ Asians and Pacific Islanders through movement capacity building, policy advocacy and representation. Founded in 2015, NQAPIA is embedded in generations- and centuries-old traditions of resistance, resilience, and community-making among LGBTQ+ Asians and Pacific Islanders. NQAPIA is in a moment of transition and this is a ripe opportunity for a motivated Finance & Operations professional to help lead our finance and operations efforts.

The Opportunity

NQAPIA is seeking a Finance & Operations Manager who can lead our financial processes and internal operations. In this newly created role, the Finance & Operations Manager will hold primary responsibility for managing organizational finances, including upkeep of 18+ fiscal sponsees along with a $1.5 million annual budget; keeping up with operations including liaising with an external HR company and ensuring that NQAPIA staff are equipped with the tools they need to succeed. This role reports to the Executive Director (currently Interim), works closely with the Director of Advocacy & Organizing, Manager of Communication & Development, and Program Manager. This is a fully remote (US based) position with flexible working schedule and core work hours of 12-3pm EST. A full benefits package (3 months paid parental leave, full employee covered health insurance, partial health insurance for dependents, retirement plan, disability insurance, and more) will be offered upon hiring.

Individuals hired at a Manager level will receive a starting salary of $70-85k.

The Finance & Operations Professional is expected to manage internal financial processes, liaise with external finance and operations consultants, and serve as a resource for fiscal sponsees; they are also expected to support operations across programs, including ordering supplies, managing external consultants within the department; provide administrative support to fundraising efforts across the organization; and identify opportunities for organizational improvement in operations and financial management. Responsibilities will include:



Financial Management:

  • Supervision of bookkeeping (BK 360 and QuickBooks); including monthly actual reports, quarterly reports for board, and annual reports for tax purposes; possibly supervise external consultants in this area.
  • Administration of payroll via external company system (Gusto).
  • Provide leadership and input in the creation and implementation of annual budget.
  • In collaboration with the Manager of Communication & Development, maintain a list of funders, reporting due dates, and ensure financial compliance with respect to donor regulations.

Operations

  • Oversee operational systems, processes, policies, and infrastructure while looking for opportunities for improvement or revision.
  • Support Programs team and other staff in regards to contracts and financial matters, including adherence to legal requirements and internal policies.
  • Oversee the administration of employee benefits and performance reviews.
  • Ensure all organizational legal, financial and regulatory documents are filed and monitor compliance thereof, including but not limited to tax regulations across states.
  • Provide administrative support to the program development team as needed.
  • Maintain office supply inventory by anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

Who You Are

  • Skilled at managing finances, from the nitty gritty of payroll and reimbursements to the bigger visioning of annual budgets
  • Experienced in working with external consulting companies, with an understanding of how to negotiate their priorities with ours
  • Skilled at supporting staff internally, comfortably becoming a confidante to a team and translating their needs to a busy ED and/or board
  • Super detail oriented. You can find an error in a spreadsheet a mile away, you track timelines and data, and you never miss an email.
  • Team oriented. You are eager to join a small and growing team as we recreate ourselves. You value self and community care and are committed to finding balance for yourself and the organization.
  • Experienced with the LGBTQ+ Asian Pacific Islander community. We value lived experiences and are seeking someone who understands our community.

We are seeking someone who has:

  • Experience in finance and/or operations roles, including at least two years of experience in each area.
  • Superior budgeting and analysis skills
  • Deep connection and commitment to the future of the LGBTQ+ API community’s success, connection, joy, and growth.

What to expect from the process:

  • Interested candidates should submit their resume and brief cover letter by December 9.
  • Candidates invited to interview will be asked to submit one written sample they are proud of (this can include a budget they helped create, an operations policy they developed, a suggestion they put forward, etc.). Redacted content is welcome, candidates are not expected or encouraged to create anything new for this purpose, and anything shared will be kept confidential.
    • First interviews will take place with the Program Director
    • Second interviews will take place with the Interim Executive Director and Manager of Comms & Dev.
  • Two finalists will be selected and 2 professional references will be requested
  • A final offer will be made thereafter.
  • NQAPIA intends to have their Finance and Ops Manager start in their role during February, 2025.
